SITE ACCESS AND TRAFFIC MANAGEMENT
All exhibitor vehicles and deliveries must enter via Wingewarra Street only. No access is permitted from Fitzroy Street or other gates.
Vehicle Safety Requirements:
- All vehicles must comply with Dubbo Showground speed limits at all times.
- Hazard lights must be activated while vehicles are moving onsite.
- Pedestrians have right of way at all times.
- Vehicles are permitted onsite for unloading only.
- Vehicles must be removed immediately after unloading.
- No vehicle movement is permitted during public event hours unless authorised by event management.

Forklift Availability
A forklift will be available onsite Wednesday 25 March from 8:00am – 11:00am only.
To use forklift services:
- Deliveries must arrive within this time window.
- Freight must be clearly labelled with Business Name and Site Number.
- A representative must be present to direct placement.

BUMP-OUT DETAILS
Friday 27 March | 4:00pm – 6:00pm
- No early pack-down permitted.
- Vehicle access will be controlled by event staff.
- All materials, structures and waste must be removed.
- Sites must be returned to original condition by 6:00pm Friday.
SITE LAYOUT PLAN
The full site layout plan wll be available shortly. Please familiarise yourself with your site location before arrival.
SPEAKING PROGRAM
A stage will operate inside the Indoor Pavilion across both event days.
The speaking program will run alongside the exhibition and may increase foot traffic in and around the pavilion area during sessions.
Exhibitors located within or near the pavilion should allow for audience movement during session changeovers.
A full program schedule will be available shortly.
WORKPLACE HEALTH AND SAFETY
Insurance Requirements
Exhibitors must hold Public Liability Insurance with a minimum $20million cover. A Certificate of Currency must be submitted prior to the event.
Electrical Compliance
- All equipment must be tagged and tested.
- Leads must be secured and protected from trip hazards.
- Cable covers must be used where leads cross walkways.
Exhibitor Responsibilities
- Secure structures and equipment appropriately.
- Supervise demonstrations and interactive activities.
- Ensure machinery is safely guarded.
- Report incidents immediately to Event Control.
POWER AND CONNECTIVITY
- Bring your own tagged extension leads (minimum 15m recommended).
- Generators must comply with safety standards.
- Wi-Fi is not guaranteed onsite. Exhibitors should arrange their own connectivity if required.
EXHIBITOR STAFF REGISTRATION
All staff attending must be registered prior to the event.

There is no limit to the number of staff onsite; however, all personnel must be registered.
CATERING AND AMENITIES
- Food vans will operate onsite both event days.
- Coffee vendors available.
- Toilets and accessible facilities located throughout the grounds.
- First Aid services available onsite.
SECURITY
Overnight security will patrol the site from Wednesday evening through to Friday morning.
Exhibitors remain responsible for securing their own equipment. The organiser accepts no liability for loss or damage.
WEATHER AND ENVIRONMENTAL CONDITIONS
Big Tech Big Ideas is an outdoor agricultural event and will proceed in most weather conditions.
Exhibitors are responsible for ensuring their site, structures and equipment are prepared for varying weather conditions.
Wet Weather
- The event will proceed in rain unless conditions are deemed unsafe.
- Exhibitors should ensure marquees, signage and equipment are adequately weighted and secured.
- Electrical equipment must be protected from moisture and water exposure.
- Consider flooring or ground protection if required.
Wind
- All temporary structures must be properly weighted.
- Lightweight signage and banners must be secured.
- Umbrellas and free-standing displays must not become wind hazards.
Heat
- March conditions in Dubbo can be warm.
- Exhibitors should ensure staff have access to water and sun protection.
- Sensitive equipment should be shielded from direct sunlight where necessary.
Cold Mornings
- Early morning bump-in may be cool.
- Staff should dress appropriately for early setup times.
Dust
- As a showground venue, some dust may occur depending on conditions.
- Exhibitors with sensitive equipment should plan protective coverings if required.
Severe Weather
In the event of severe weather:
- Follow instructions from event management immediately.
- Cease demonstrations if directed. Secure loose equipment.
- Move to designated safe areas if required.
Event management will monitor weather conditions closely and communicate any changes via onsite announcements or direct contact with exhibitors.

Can I arrive before 8:00am Wednesday
No. Access will not be available prior to 8:00am.
Can I complete setup Thursday morning?
Yes, between 6:00am – 8:00am for final adjustments only.
Can I pack up early on Friday?
No. Early pack-down is not permitted.
Will the event proceed in wet weather
Yes. Please prepare accordingly.
Is forklift support available during bump-out?
No. Exhibitors must manage their own pack-down arrangements.
